Staffing Dashboard – Create an Assignment

Access: Users assigned the Staffing Dashboard - Full Access role. 

The Staffing Dashboard displays real-time staffing and census data by facility, service line, department, shift summary period, and skill. Understaffed shift summary periods are highlighted in red while overstaffed shift summary periods are highlighted in yellow.

A blue outline around a cell indicates skills within the group are below and/or over target, but the sum of all skill differences within the group equals zero. For example, a summary period may be short one EMT and over one P-Medic with all other skills on target. The sum of the differences within this skill group equals zero.

In the example below, department 2nd Floor - Med Surg is short two Chg RNs for the selected day shift.

Create an assignment

 

To create a new assignment:

  1. Click the red cell to view the Resource Assignments screen.
  2. Click the Unscheduled Staff tab to view a list of available employees who are:
    1. Qualified to work in the selected department and service line.
    2. Not scheduled during the selected shift summary time.
    3. Not scheduled to work 12 hours prior to or following the start of the shift summary time (no consecutive shifts).
  3. Click the arrow in the Name column header to view the list of employees alphabetically by last name.
  4. Employee's with a secondary department association are designated by the [S] icon.
  5. The list can also be sorted by Skill, Employee Type, Hours Worked, Hours Scheduled, Last Worked, Next Assignment Date, and Time.

 

Resource Assignments Screen > Unscheduled Staff View

 

  1. If no suitable employees are listed on the Unscheduled Staff tab, click Staff Search to search outside the service line.
    1. Search results include Core, PRN, and Contract Labor staff.

    2. Search across all facilities within the division.

    3. Search by Name, 3/4 Login, or Employee Identification Number (EIN).

  2. Click an employee name to create an assignment.

  3. The Create Assignment page opens for completion. Employee, Facility, Service Line, Department, Skill, and Date fields are pre-filled.

  4. Complete the form:

    1. Select a Shift Type and Shift Code. Start and End Times will be automatically entered based on the selected shift code.

    2. Confirm the Shift Date.

    3. Confirm or edit Charge and Float settings.

    4. Enter Notes as needed

 

Assignment Details Screen

 

  1. Click Next.
  2. Review and confirm the assignment fields.
  3. Click Save & Finish to create the assignment.

 

The employee will be notified of this schedule change by SMS message if they have opted in. If they have not opted in, an alert message will display at the top of the screen.

You will be returned to the Unscheduled Staff tab on the Resource Assignment page. If there are no additional needs to fill, click Close at the top of the page to return to the dashboard view.

Click the Refresh icon to update staffing grid counts in the dashboard view.
