Staffing Dashboard – Split an Assignment

Access: Users assigned the Staffing Dashboard - Action Capable role

 

The Staffing Dashboard displays real-time staffing and census data by facility, service line, department, shift summary period, and skill group. Understaffed shift summary periods are highlighted in red. Overstaffed periods are highlighted in yellow. The number in each cell indicates the number of employees with a given skill the period is under or overstaffed.

Cells outlined in blue indicate skills within the group are below and over target, but the sum of all skill differences within the group equals zero. For example, a summary period may be short one EMT and over one P-Medic with all other skills on target. The sum of the differences within this skill group equals zero.

In the example below, department 2E - Spine Center is short an RN. The Staffer has decided to move an RN from 3 West – MedSurg to cover the 11:00 AM - 7:00 PM period. Since the employee will be moved in the middle of their scheduled shift, the staffer will split the assignment.

Split an employee's assignment

 

There are two methods for splitting an existing assignment.

  1. Click on a cell in the dashboard to view the Resource Assignments screen. Follow the steps below.
  2. Click on an employee's name in the Dashboard Daily Roster. Begin with step 7 below. 

To split an assignment:

  1. Click the yellow cell in the department FROM which you are moving the employee.
  2. The Resource Assignment page opens displaying the Home Department tab. On this tab, the staffer can view:
  3. A list of employees scheduled in the selected department during the summary period.
  4. Employees with a secondary department association are identified by the [S] icon.
  5. Last Cancelled and Last Floated dates display for each listed employee (when available).

  1. Click an employee’s name to open their assignment screen.
  2. Click Split.
  3. Enter the Split Time and click Next.
  4. Edit the Assignment A fields as needed.
  5. Click Next.
  6. Edit the Assignment B fields to reflect the second portion of the split assignment

  1. Confirm or edit the employee's Skill.
    1. Skills displayed in black are the employee's primary and secondary skills. 
    2. Skills displayed in red are temporary covering skills. 
    • Note: If the employee's assigned skills do not match those listed for the destination department, select the department skill the employee is temporarily covering. These skills are displayed in red font.
  2. Select Charge and/or Float settings.
    1. If the staff member is moving to a different department, the default Float setting will be set to Yes.
    2. If you change the default setting, enter an explanation in the Notes field.
  3. Enter Notes as needed.
  4. Click Next.
  5. Review and confirm the assignment. The first portion of the assignment displays above the second portion.
  6. Click Save & Finish to split the assignment.

 

You will be returned to the Home Department tab on the Resource Assignments screen. If no further edits are required, click Close to return to the Dashboard.

Click the Refresh icon to update staffing grid counts in the dashboard view.

 

Staffing changes made in the dashboard are immediately effective. FS schedules and daily rosters will update to include these changes when the screen next refreshes.
